Mastering Communication in Business: The Power of Words, Tone, and Body Language

Effective communication is one of the most powerful tools a business owner can master. Whether you’re leading a team, building relationships, or driving sales, the way you communicate has a direct impact on trust, influence, and results.

At Entrepreneurial Business School, we often remind business owners that communication isn’t just about what you say – it’s about how you say it and how you show up while saying it. Research shows there are three primary channels of communication: words, tonality, and body language. Understanding and aligning these elements is the key to building authenticity and influence.

The Three Elements of Communication

1. Words (7%)

Surprisingly, only 7% of your message is communicated through the actual words you use. Scripts, key phrases, and structured conversations are valuable, especially in sales, but they’re only a fraction of the bigger picture.

Business owners often get stuck thinking, “What should I say?” While words matter, they’re not the deciding factor in how your message is received.

2. Tonality (38%)

38% of communication comes from tone. This includes your speed, volume, energy, and expression.

For example:

  • Saying “I’m really excited today” quickly and with enthusiasm conveys energy and passion.

  • Saying the same words slowly and quietly may communicate seriousness or even disinterest.

Tonality influences how people feel about what you’re saying. In sales and leadership, it can mean the difference between trust and doubt.

3. Body Language (55%)

The majority of communication, 55%, comes from body language.

This includes posture, facial expressions, gestures, and even what you wear.

If your body language contradicts your words, authenticity disappears. Think of a parent saying, “I love you” while delivering a punishment, the child receives mixed signals.
The same happens in business. If your body language doesn’t align with your words, people sense the disconnect instantly.

Authenticity: The Key to Influence

Authenticity happens when words, tone, and body language are in alignment. Customers, clients, and team members want to engage with people who feel genuine. If one part of your communication is out of sync, the message loses impact.

That’s why self-awareness and practice are critical. In fact, one of the most effective ways to sharpen communication is through role play.
Elite athletes spend the majority of their time practicing before they perform. Yet in business, we often spend 90–95% of our time executing and very little practicing.

If you want to improve sales conversations, leadership presentations, or team communication, practice is non-negotiable.
Have someone observe you, record yourself, and get feedback on your tone and body language.
